Administrative Assistant - Accounts Receivable

The Metropolitan YMCA of the Oranges is seeking a part-time Administrative Assistant  to support Accounts Receivable for the East Orange YMCA branch located in East Orange, NJ. Under the direction of the Finance department, the individual is responsible for ensuring 100% parent compliance with the New Jersey Department of Human Services Division of Family Development's automated child care tracking and attendance system call e-Child Care (ECC). The Administrative Assistant will be required to develop a thorough understanding of the specialized software and electronic interface of New Jersey's ECC Provider Web Portal. Compliance with the ECC attendance requirements directly impacts the financial reimbursement from the State of NJ to the YMCA for the Program for Parents (PfP) subsidized school age child care slots. Forms and agreements must be completed in full correctly and immediately upon receipt in order to fully service our families.

General responsibilities include daily tracking and reporting of electronic attendance records from the ECC Provider Web Portal, daily distribution of attendance tracking reports to the East Orange YMCA school age child care sites, communication with Site Supervisors regarding parent noncompliance, communication with parents regarding missing attendance and daily communication with the Accounts Receivable Specialist to discuss parent noncompliance that may require escalated action by the YMCA. Regular collection procedures are to be utilized for Accounts Receivable balances due and action taken on those accounts not having a payment plan or making payment in full.

Site Supervisors

Minimum Requirements: Very organized with experience leading staff and working with children in a group setting in Before/After School programs. High school diploma required, college credits/degree preferred. Excellent interpersonal skills and ability to communicate well with parents and school staff is essential.  

Group Leaders and Group Assistants

Minimum Requirement: Ability to lead and/or assist children with positive group activities in a nurturing environment. Candidates will be a positive role model ensuring safety of the children at all times.

Schedule: Monday - Friday

Before Care: some sites 7:15am - 8:30am; some sites 7:30am – 8:45am

After Care: some sites 2:15pm - 6:30pm; some sites 2:30pm – 7:00pm.

Fairview Lake YMCA Camps is a year-round residential outdoor education program that focuses on hands-on experiential education and outdoor courses for children in grades 2-8. Fairview Lake is located in the Northwest corner of New Jersey surrounded by 660 acres of swamp, forest and fields. We also reside on a mile long lake, our name sake. We are only an hour and a half drive to New York City!

Fairview Lake Environmental Education and Conference Instructors will teach pre-approved academic curriculum for ecologies, facilitate the teambuilding course, and lead campfires and night hikes. Environmental Education classes are a major portion of lessons led, however, some recreational activities like boating, climbing wall and orienteering occur regularly. Everyone will also lend a hand when it comes to projects; a few examples being: fixing equipment, upkeep of cabins and wood-splitting.

 

Executive Assistant

Reporting directly to the President/CEO, the Executive Assistant provides executive support in a one-on-one working relationship with both the President/CEO and the Senior Vice President/COO. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Office of the Association. The Executive Assistant also serves as a liaison to the Board of Directors and senior management team, organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant provides logistical support and coordination in arranging a variety of organization-wide special events.  Additionally, the incumbent provides supervisory oversight of the reception desk and assigned staff. 

  1. Completes a broad variety of administrative tasks for the President/CEO and Senior Vice President/COO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  2. Plans, coordinates and ensures that the President/CEO's schedule is followed and respected.
  3. Provides a "gatekeeper" and "gateway" role, creating strategic opportunities for direct access to the President/CEO's time and office.
  4. Communicates directly, and on behalf of the President/CEO, with Board members, donors, branch staff, and others, on matters related to the President/CEO's programmatic, philanthropic, and business initiatives.
  5. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President/CEO, including those of a sensitive or confidential nature. Determines the appropriate course of action, referral, or response.
  6. Provides a bridge for smooth communication between the President/CEO’s and Senior Vice President COO’s office and internal departments; demonstrates leadership in maintaining credibility, trust and support with the senior management staff.
  7. Works closely and effectively with the President/CEO and Senior Vice President/COO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment and keeping the President/CEO and Vice President/COO updated.
  8. Provides leadership to build relationships crucial to the success of the organization; manages a variety of special projects for the President/CEO and Senior Vice President/COO, some of which may have organizational impact.
  9. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the President/CEO’s and Senior Vice President/COO’s ability to lead the organization effectively.
  10. Prioritizes conflicting needs; handles matters expeditiously, proactively, and effectively; follows-through on projects to successful completion, often with deadline pressures.
  11. Serves as the President/CEO’s administrative liaison to the Association’s Board of Directors. Assists Board members with travel arrangements, lodging, and meal planning as needed. Maintains discretion and confidentiality in relationships with all Board members. Adheres to applicable rules and regulations set in the bylaws regarding the Board and Board committee matters, including advanced distribution of materials before meetings in electronic/paper format. Produces and maintains minutes for meetings of the Board.
  12. Participates as an adjunct member of the Senior Leadership Team, providing assistance in scheduling meetings and attending all meetings. Assists in coordinating the agenda of senior management team meetings and off-site gatherings, as well as All Staff meetings. Facilitates cross-branch coordination of travel and outreach plans.
  13. Ensures that the executive biographical summaries are kept updated and responds to requests for materials regarding the President/CEO and the organization in general
  14. Edits and completes the first drafts for written communications to external stakeholders.
  15. Works with the Chief Development Officer in coordinating the President/CEO’s outreach and donor relations activities. Follows up on contacts made by the President/CEO and supports the cultivation of ongoing relationships. Edits and creates acknowledgement letters from the President/CEO to donors.
  16. Manages the President/CEO’s and Sr. Vice President/COO’s schedules as well as schedules for assigned executive staff.
  17. Makes travel arrangements as necessary and prepares related expense reports.
  18. Coordinates arrangements for meetings of various committees, task forces, public officials, and groups.
  19. Coordinates the logistics and arrangements for various corporate meetings and special events.
  20. Maintains computer databases for various reports, committees, and mailings.
  21. Coordinates the annual schedules for the Board of Directors and management meetings.
  22. Maintains organizational charts.
  23. Supervises assigned staff.

  • Minimum 2 years of experience in a related field.

 

Swim Instructors:

Responsible for teaching Progressive Swim programs. Must ensure the safety of all students enrolled in classes while making learning experience enjoyable and fun for all the participants. Required to maintain the physical demands of the position and possess strong interpersonal skills to maintain a trusting relationship with children, parents, staff, and community and be able to fulfill responsibilities in accordance with YMCA standards.

Minimum Requirements:

  • Certified as a Swim Instructor with the Red Cross or the YMCA.
  • Must have prior experience with children in a similar teaching setting.
  • Must be able to teach classes of up to 8 swimmers.
  • Must be able to teach different swim strokes and water acclimation for ages three through adults.
  • Must learn the curriculum for all swim levels.

Theater Technical Coordinator

The East Orange YMCA is seeking On-Call Welcome Center Associates to serve as the front line person to greet and assist their members, visitors, and clients. answering phone calls, providing accurate information to all inquiries in a professional manner, promoting, selling and registering membership, events and programs, money transactions, file documentation and providing administrative support to the Branch Executive Director. Must be customer service oriented ensuring a high-level of service with a commitment to improving lives and have a cause-driven focus. The Welcome Center is the main hub of the branch, therefore, the position will serve as the center of communication and assistance for overall business operations and member service functions all within the policies and guidelines of the YMCA.

Schedule varies Monday through Saturday between the hours of 7:30am - 6:30pm. Position requires flexibility in scheduling and hours of availability based on need.

Become an Environmental Education & Program Instructor.
Job responsibilities include teaching a variety of outdoor classes in the areas of ecology, natural history, team building and outdoor skills, assisting in evening programs like night hikes and camp fires, and developing new curriculum. A BA/BS is preferred but not required, however a love and wonder of the natural world, and an enthusiasm to work with children are requirements of the successful applicants. Being a team player and flexible in your teaching style is also vital.
Instructors have the opportunity to work with schools, youth & adult groups & families through our Environmental Education & Conference Programs.
