Administrative Assistant

The South Mountain YMCA is seeking an Administrative Assistant who under the direction of the Business Administrator, the Administrative Assistant I is responsible for accepting and receipting the payments for programs, for verifying that all memberships are current and valid, and for ensuring that member information entered into EFinestri is kept accurate and up to date. Support the overall operations by working in coordination with fellow Welcome Center staff to ensure timely processing of all program, camp and membership registrations and transactions.

This position requires a thorough understanding of EFinestri software, have the ability to research member information and have knowledge of Microsoft Office. Major areas of responsibility and accountability include but not limited to member service, data entry for camp and programs, and maintain professional business relationships with members and the branch team. The specific responsibilities of this position include but are not limited to the following:


  1. Maintain an orderly, safe and friendly environment of member service as main priority.
  2. Readily answers the telephone and provide accurate information in a professional manner.
  3. Accurate processing of revenue passing through the branch, including program registration, special events, membership and camp registration.
  4. Implements all registration procedures and facilitates on-line registrations.
  5. Support Branch Directors with regard to program reports and rosters.

    6. Provides administrative support to the department directors, as needed.

    7. Provides correct & current information on membership and programs, both in person and on the phone, to our members, co-staff, volunteers and guests.'

    8. Performs such other job-related duties as may be periodically assigned.

  1. High School Diploma required, college credits/degree preferred.
  2. Three or more years of related experience in providing quality customer service.
  3. Strong organizational skills, detail oriented, and planning skills.
  4. Strong interpersonal skills and ability to communicate with all levels including staff, parents and members.
  5. Proficient in all standard business software.
  6. Knowledgeable about office processes and procedures.
  7. Ability to work with integrity, discretion and a professional approach.
